Step 1: Build Your Staff List Early
Lock your first-round name tag list at least three weeks before your target opening date. Plan for a second smaller order one to two weeks later to cover late hires and corrections. Your staff list should include: first name, last name, title, and department for each person.
Step 2: Decide on One Design for the Whole Property
Pick one design configuration and apply it across your entire staff. Front desk, housekeeping, valet, and management can all wear the same badge design with different role lines — and it reads as a cohesive, branded team.
Step 3: Choose Your Material and Finish
Most luxury hotels and resorts default to metal with brushed gold or brushed silver finish. If budget is a constraint on a large order, acrylic is a legitimate alternative that still looks professional.
Step 4: Account for Often-Forgotten Groups
- Management and ownership staff — often added late
- Security and loss prevention — sometimes ordered separately, creating inconsistency
- Part-time and on-call staff — frequently left off the initial list
- Back-of-house supervisors — kitchen managers, housekeeping leads who still need badges
Step 5: Timeline
- 3 weeks out: Finalize design and lock staff list
- 2.5 weeks out: Place first-round order
- 1.5 weeks out: First round arrives
- 1 week out: Place second-round order for corrections and additions
- Opening day: All staff equipped
